Server log files

Collection and Processing When Using the Contact Form

By submitting your message, you consent to the processing of the transmitted data. The processing is based on Article 6(1)(a) GDPR with your consent.
You can revoke your consent at any time by notifying us, without affecting the legality of the processing based on the consent prior to revocation. We will only use your email address to process your inquiry. Your data will then be deleted unless you have agreed to further processing and use.
Collection and Processing When Using the Newsletter
When subscribing to the newsletter, we collect your personal data (name, email address, company name) only to the extent you provide it. The data processing serves the purpose of contacting you to share product-related information. By subscribing to the newsletter, you consent to the processing of the provided data. The processing is based on Article 6(1)(a) GDPR with your consent. A double opt-in process is used to ensure that only you, as the owner of the provided email address, can subscribe to the newsletter. Your confirmation must be made within 24 hours of receiving the confirmation email; otherwise, your newsletter subscription will be automatically blocked in our database and deleted after one month. Once confirmed, we store your email address for the purpose of sending the newsletter. Additionally, we store your IP address and the times of registration and confirmation based on Article 6(1)(c) GDPR. The purpose of this procedure is to verify your registration and, if necessary, clarify any possible misuse of your personal data.
You can revoke your consent at any time by notifying us or by using the appropriate link in each newsletter message without affecting the legality of the processing based on the consent before the revocation. Your data will then be deleted.
We have commissioned Strato AG, Otto-Ostrowski-Straße 7, 10249 Berlin, to host our web servers and process the newsletter-related data. Your newsletter-related data is hosted exclusively within the European Union. A corresponding data processing agreement has been concluded with Strato AG.
Use of Google reCAPTCHA
We use Google Inc.’s (1600 Amphitheatre Parkway, Mountain View, CA 94043, USA) reCAPTCHA service on our website. The query serves the purpose of distinguishing whether the input is made by a human or by automated machine processing. The query includes the transmission of the IP address and, if necessary, other data required by Google for the reCAPTCHA service. Your input will be transmitted to Google and further used there. However, your IP address will be shortened by Google within member states of the European Union or in other states that are party to the Agreement on the European Economic Area. Only in exceptional cases will the full IP address be transmitted to a Google server in the USA and shortened there. On behalf of the operator of this website, Google will use this information to evaluate your use of this service. The IP address transmitted by your browser within the scope of reCAPTCHA will not be merged with other data from Google. Your data may also be transferred to the USA. A European Commission adequacy decision, the "Privacy Shield," is in place for data transfers to the USA. Google is a participant in the Privacy Shield and has submitted to its requirements. By activating the query, you consent to the processing of your data. The processing is based on Article 6(1)(a) GDPR with your consent. You can revoke your consent at any time, without affecting the legality of the processing carried out on the basis of the consent before revocation.

Use of Google Analytics
We use Google Analytics to analyze website usage. The data collected is used to optimize our website and advertising efforts. Google Analytics is provided to us by Google Ireland Limited (Gordon House, Barrow Street, Dublin 4, Ireland). Google processes the data on website usage on our behalf and is contractually committed to implementing measures that ensure the security and confidentiality of the processed data.
During your website visit, the following data is transmitted to Google, among others:

- A randomly generated user ID
No personal information such as name, address, or contact details is transmitted to Google Analytics. This data is transferred to Google servers in the USA. We would like to point out that the level of data protection in the USA may not be equivalent to that within the EU. Google Analytics stores cookies in your web browser for a period of two years after your last visit. These cookies contain a randomly generated user ID, which enables you to be recognized on future visits to the website. The recorded data is stored along with the randomly generated user ID, allowing the evaluation of pseudonymous user profiles. This user-related data is automatically deleted after 14 months. Other data is retained indefinitely in aggregated form. If you do not agree with the data collection, you can prevent it by installing the Google Analytics opt-out browser add-on or by rejecting cookies through our cookie settings dialog.

Collection, Processing, and Use of Personal Data for Orders
When placing an order, we collect and use your personal data only to the extent necessary to fulfill and process your order and to handle your inquiries. The provision of data is necessary for the conclusion of a contract. Failure to provide it will result in no contract being concluded. The processing is based on Article 6(1)(b) GDPR and is necessary for the performance of a contract with you. Your data will not be disclosed to third parties without your explicit consent. The only exceptions are our service partners who we need to fulfill the contractual relationship or service providers we use in the context of order processing. The payment processing provider used is Stripe Payments Europe, Limited (SPEL), 1 Grand Canal Street Lower, Grand Canal Dock, Dublin D02 H210, Ireland. We have entered into a data processing agreement with SPEL. The extent of data transmission is limited to the minimum necessary for order fulfillment. The entered data is also used to generate the software license, which is delivered to the customer after the ordering process. Further information on this is provided in the section on the use of an external license system.
You have the right, for reasons arising from your particular situation, to object at any time to the processing of personal data concerning you based on Article 6(1)(f) GDPR by notifying us. Your email address will only be used for this purpose and will not be used for further advertising or shared with third parties. The personal data stored in the buyer’s review system for technical purposes will be deleted three months after the delivery of the goods.
Use of an External License System
We use a system from Cense Data Inc., a company incorporated under the laws of Canada, with registered office at 1810-928 Homer street, V6B 1T7 Vancouver (Canada), business registration no. 81673 9726, to protect the software and manage purchased licenses and subscriptions. The system is operated under the name LicenseSpring. A corresponding data processing agreement has been concluded, ensuring that Cense Data and Qbitec comply with applicable data protection laws, especially EU data protection laws, in all their actions and operations concerning the processing of personal data. User data, such as name, email address, and license properties like purchased products, license types, purchase times, and expiration dates, are stored. Additionally, data about the computer where the license was activated is stored, including the activation date, operating system, installed Qbitec software version, hostname, IP address, MAC address, and whether it is a virtual machine. This data is used to identify the user and verify the purchased license to ensure proper functionality of the Qbitec software. No other use of the personal data occurs.
LicenseSpring guarantees to maintain appropriate and sufficient technical and organizational security measures to protect personal data from accidental or unlawful destruction, accidental loss, damage, alteration, unauthorized disclosure, or access, as well as from all other unlawful forms of processing. Personal data is processed in Canada, Belgium, and Germany.
Use of an External Inventory Management System
We use the JTL inventory management system (JTL-Software-GmbH, Rheinstr. 7, 41836 Hückelhoven, Germany) for contract processing and order fulfillment. Your personal data collected during the ordering process is transmitted to a Strato server (Strato AG, Otto-Ostrowski-Straße 7, 10249 Berlin), which hosts the JTL inventory management database. A data processing agreement has been concluded with Strato AG to protect your data.
Use of a Software Analysis Tool
The Qbitec software sends reports at regular or random intervals. These reports contain information about your hardware configuration, software performance, the frequency of software usage, and other data needed by Qbitec to improve software performance and functionality in future versions. The data sent to Qbitec to improve the customer experience or for error reporting is anonymized and protected per Qbitec's privacy policy. This process is automatic and does not require surveys. Your work is not interrupted by the collection or transmission of data, and no performance loss occurs. Data is stored and transmitted once your computer is connected to the internet. If no storage space is available, the data is discarded. Qbitec reserves the right to include surveys and other feedback mechanisms in the software, requiring your active participation, but you can choose whether to provide feedback and actively send it to Qbitec.
By agreeing to the license terms, you consent to the software sending reports to Qbitec when errors occur during operation. These error reports are used by Qbitec to improve the reliability and functionality of the software and may contain information about your hardware configuration and software performance at the time of the error.
The relevant information is processed by a third-party provider to monitor the correct behavior of the program functions. The provider is Functional Software, Inc. (https://sentry.io, Sentry), 45 Fremont St, San Francisco, CA 94105, USA. A data processing agreement has been concluded, and Sentry has been contractually obliged to process data solely for the intended purposes.

Storage duration
After the contract has been fully processed, the data will initially be stored for the duration of the warranty period and then, taking into account legal, especially tax and commercial retention periods, deleted after the expiry of this period, unless you have consented to further processing and use.
Rights of the data subject
Upon request, we will gladly inform you whether and which personal data concerning you is stored (Art. 15 GDPR), particularly regarding the purposes of processing, the categories of personal data, the categories of recipients to whom your data has been or will be disclosed, the planned storage period, the existence of a right to rectification, erasure, restriction of processing, or objection, the existence of a right to lodge a complaint, the origin of your data if it was not collected by us, as well as the existence of automated decision-making, including profiling.
You also have the right to have any incorrect personal data corrected or incomplete data completed (Art. 16 GDPR).
Furthermore, you have the right to request the restriction of processing of your data, provided the legal conditions are met (Art. 18 GDPR).
You have the right to receive your personal data concerning you in a structured, commonly used, and machine-readable format, or to request the transfer to another controller (Art. 20 GDPR).
In addition, you have the so-called "right to be forgotten," i.e., you can request that we delete your personal data, provided the legal conditions are met (Art. 17 GDPR).
Regardless of this, your personal data will be automatically deleted by us when the purpose for collecting the data no longer exists, or the data processing is unlawful.
According to Art. 7 (3) GDPR, you have the right to withdraw your consent at any time. This means that we may no longer continue the data processing based on this consent for the future.
