Server Log Files
You can visit our websites without providing any personal information. Each time you access our website, usage data is transmitted by your internet browser and stored in log files (server log files). This stored data includes, for example, the name of the accessed page, the date and time of access, the amount of data transferred, and the requesting provider. This data is used solely to ensure the smooth operation of our website and to improve our offering. It is not possible to assign this data to a specific person.
Collection and Processing When Using the Contact Form
When using the contact form, we collect your personal data (name, email address, message text) only to the extent you provide it. The data processing serves the purpose of contacting you. By submitting your message, you consent to the processing of the transmitted data. The processing is based on Art. 6 (1) lit. a GDPR with your consent.
You can revoke your consent at any time by notifying us, without affecting the lawfulness of the processing carried out based on the consent before its withdrawal. We use your email address only to process your request. Your data will be deleted afterwards, unless you have consented to further processing and use.
Collection and Processing When Using the Newsletter
When using the newsletter, we collect your personal data (name, email address, company name) only to the extent you provide it. The data processing serves the purpose of contacting you in order to share product-related information. By subscribing to the newsletter, you consent to the processing of the transmitted data. The processing is carried out based on Art. 6 (1) lit. a GDPR with your consent. The double opt-in procedure is used. This is to ensure that only you, as the owner of the specified email address, can register for the newsletter. Your confirmation must be provided within 24 hours of receiving the confirmation email, otherwise your newsletter registration will be automatically blocked in our database and deleted after one month. After your confirmation, we will store your email address for the purpose of sending the newsletter. In addition, we store your IP addresses used and the times of registration and confirmation based on Art. 6 para. 1 sentence 1 lit. c) GDPR. The purpose of this procedure is to be able to prove your registration and, if necessary, to clarify any possible misuse of your personal data.
You can revoke your consent at any time by notifying us or using the corresponding link in each message sent via the newsletter, without affecting the legality of the processing carried out on the basis of the consent until the revocation. Your data will then be deleted.
We have commissioned Strato AG, Otto-Ostrowski-StraĂe 7, 10249 Berlin, with hosting our web servers and processing newsletter dispatch data. Your newsletter dispatch data will be hosted exclusively in the European Union. For this purpose, a corresponding data processing agreement was concluded with Strato AG.
Use of Google reCAPTCHA
We use the reCAPTCHA service from Google Inc. (1600 Amphitheatre Parkway, Mountain View, CA 94043, USA) on our website. The query serves the purpose of distinguishing whether the input is made by a human or by automated, machine processing. The query includes the transmission of the IP address and possibly other data required by Google for the reCAPTCHA service to Google. For this purpose, your input will be transmitted to Google and used there. However, your IP address will be shortened by Google beforehand within member states of the European Union or in other contracting states of the Agreement on the European Economic Area. Only in exceptional cases will the full IP address be transmitted to a Google server in the USA and shortened there. On behalf of the operator of this website, Google will use this information to evaluate your use of this service. The IP address transmitted by your browser within the scope of reCAPTCHA will not be merged with other data from Google. Your data may also be transmitted to the USA. For data transfers to the USA, there is an adequacy decision by the European Commission, the "Privacy Shield". Google participates in the "Privacy Shield" and has submitted to its requirements. By activating the query, you consent to the processing of your data. The processing is carried out based on Art. 6 (1) lit. a GDPR with your consent. You can revoke your consent at any time without affecting the legality of the processing carried out based on the consent until the revocation.

Use of Google Analytics
We use Google Analytics to analyze website usage. The data obtained from this is used to optimize our website and advertising efforts. Google Analytics is provided to us by Google Ireland Limited (Gordon House, Barrow Street, Dublin 4, Ireland). Google processes the website usage data on our behalf and is contractually obligated to take measures to ensure the security and confidentiality of the processed data.
During your website visit, the following data, among others, is transmitted to Google:
- Pages visited
- Achievement of "website goals" (e.g., contact requests and newsletter sign-ups)
- Your behavior on the pages (e.g., time spent, clicks, scroll depth)
- Your approximate location (country and city)
- Your IP address

- A randomly generated user ID
No personal data such as name, address, or contact details are transmitted to Google Analytics. This data is transferred to Google servers in the USA. We point out that the USA does not guarantee the same level of data protection as within the EU. Google Analytics stores cookies in your web browser for a period of two years from your last visit. These cookies contain a randomly generated user ID, which allows you to be recognized upon future visits to the website. The recorded data is stored together with the randomly generated user ID, enabling the analysis of pseudonymous user profiles. These user-related data are automatically deleted after 14 months. Other data remains stored in aggregated form indefinitely. If you do not agree with the collection, you can prevent it by installing the browser add-on to disable Google Analytics once or by rejecting cookies via our cookie settings dialog.

Collection, Processing, and Use of Personal Data for Orders
When placing an order, we collect and use your personal data only to the extent necessary to fulfill and process your order and to handle your inquiries. The provision of the data is required for the conclusion of the contract. Failure to provide it will result in the inability to conclude a contract. The processing is based on Art. 6 (1) lit. b GDPR and is necessary for the performance of a contract with you. Your data will not be passed on to third parties without your express consent. The only exceptions are our service partners whom we need to fulfill the contractual relationship or service providers we use within the scope of commissioned data processing. The provider used for payment processing is Stripe Payments Europe, Limited (SPEL), 1 Grand Canal Street Lower, Grand Canal Dock, Dublin D02 H210, Ireland. We have entered into a corresponding data processing agreement with SPEL. The scope of data transfer is limited to the minimum necessary for the execution of the order. The data entered is also used to generate the software license, which is delivered to the customer after the order process. Further information on this can be found in the section "Use of an External Licensing System."
You have the right, for reasons arising from your particular situation, to object at any time to the processing of personal data concerning you based on Art. 6 (1) lit. f GDPR by notifying us. Your email address will only be used for this purpose and, in particular, not for further advertising or passed on to other third parties. The personal data stored in this context in the technical system of the buyer protection rating tool will be deleted 3 months after the delivery of the goods recorded for evaluation.
Use of an External Licensing System
We use a system provided by the company Cense Data Inc., a company incorporated under the laws of Canada, with registered office at 1810-928 Homer Street, V6B 1T7 Vancouver (Canada), business registration no. 81673 9726, for software protection and management of purchased licenses and subscriptions. The system is operated under the name LicenseSpring. To protect your data, a corresponding data processing agreement was concluded, in which Cense Data and Qbitec commit to comply with applicable data protection laws and, in particular, the EU data protection law in all actions and processes related to the processing of personal data. User data such as name, email address, along with license attributes like purchased products, license types, purchase date, and expiration date are stored. Additionally, data related to the device on which the license was activated are saved. This includes the license activation date, operating system, installed Qbitec software version, hostname, IP address, MAC address, and whether it is a virtual machine. These data serve to identify the user and verify the purchased license to ensure the proper functioning of Qbitec software. Other uses of the personal data are excluded.
LicenseSpring guarantees to maintain adequate and appropriate technical and organizational security measures to protect personal data against accidental or unlawful destruction, accidental loss, damage, alteration, unauthorized disclosure or access, and against all other unlawful forms of processing. Personal data are processed in Canada, Belgium, and Germany.
Use of an External ERP System
For contract execution and order processing, we use the JTL ERP system (JTL-Software-GmbH, Rheinstr. 7, 41836 HĂźckelhoven, Germany). For this purpose, the personal data collected during the order process are transmitted to a Strato server (Strato AG, Otto-Ostrowski-StraĂe 7, 10249 Berlin), which hosts the JTL ERP system database. To protect your data, a corresponding data processing agreement was concluded with Strato AG.
Use of a Software Analytics Tool
The software from Qbitec sends reports at regular or random intervals. A distinction is made between malfunction reports and usage analytics. Malfunction-related information is processed via a third-party provider for structured analysis of software crash reports. The provider is Functional Software, Inc. (https://sentry.io, Sentry), 45 Fremont St, San Francisco, California 94105, USA.
In accordance with the license terms, you agree that the software may send reports to Qbitec when errors occur during operation. These error reports are used by Qbitec to improve the reliability and functionality of the software and may contain information about your hardware configuration and software performance at the time of the error.
These reports contain the following information:
- Error name
- Session-persistent ID
- Location
- Runtime (versions of dependent assemblies)
- Basic computer information
Qbitec has concluded a DATA PROCESSING Addendum with Sentry, obligating Sentry to protect our customers' data and not to share it with third parties.
We have configured the Sentry software so that no data about individuals or institutionsâor data that could allow such conclusionsâis transmitted.
Information about unexpected events such as crashes and detected programming errors is anonymized and sent to servers in Frankfurt a. M., Germany. There, it is securely available to Qbitec for review for a maximum of 90 days. For detailed event analysis, technical information such as the time of the event, and the version of the software and operating system used are collected. This information is solely used for analyzing software malfunctioning. The results are used to make future versions more robust for our users.
The usage analysis of the software and its functions, which Qbitec requires to improve performance and functionality in future versions, is conducted using the third-party provider PostHog. Relevant usage data is processed by a third party to analyze program feature usage anonymously and in compliance with GDPR. The aim is to improve the most important areas for the majority of users. The provider is PostHog, Inc. (https://posthog.com, PostHog), 2261 Market St., San Francisco, CA 94114, USA. A data processing agreement has been signed, and PostHog is contractually bound to process data exclusively for the intended purposes.
The process of aggregating analysis data is automated, fully anonymized, and requires no surveys. The information is anonymized and sent to servers in Frankfurt a. M., Germany, where it is securely available to Qbitec for up to 1 year. Your work will not be interrupted by data collection or transmission, and no performance loss will occur. Data is stored and transmitted as soon as your computer is connected to the internet. If no storage space is available, the data is discarded. Qbitec reserves the right to integrate surveys and additional feedback mechanisms into the software, which require your active participation; however, you decide whether you want to provide and actively send feedback to Qbitec.

Our website uses cookies. Cookies are small text files that are stored in the internet browser or by the internet browser on a user's computer system. When a user accesses a website, a cookie can be stored on the user's operating system. Storage Duration
After full contract processing, the data will first be stored for the duration of the warranty period and then in accordance with statutory, especially tax and commercial law, retention periods. After these periods expire, the data will be deleted unless you have consented to further processing and use.
Rights of the Data Subject
Upon request, we will gladly inform you whether and which personal data about you is stored (Art. 15 GDPR), in particular about the purposes of processing, the category of personal data, the categories of recipients to whom your data has been or will be disclosed, the planned storage duration, the existence of a right to rectification, deletion, restriction of processing or objection, the existence of a right to lodge a complaint, the origin of your data, if not collected by us, and the existence of automated decision-making including profiling.
You also have the right to have incorrect personal data corrected or incomplete data completed (Art. 16 GDPR).
Furthermore, you have the right to request the restriction of the processing of your data, provided that the legal requirements are met (Art. 18 GDPR).
You have the right to receive your personal data in a structured, commonly used, and machine-readable format or to request the transmission to another controller (Art. 20 GDPR).
You also have the so-called âright to be forgotten,â meaning you can request the deletion of your personal data, provided the legal requirements are met (Art. 17 GDPR).
Regardless of this, your personal data will be automatically deleted by us if the purpose of data collection no longer applies or the data processing was unlawful.
According to Art. 7 (3) GDPR, you have the right to revoke your consent at any time with effect for the future. As a result, we may no longer continue the data processing based on this consent for the future.
You also have the right to object at any time to the processing of your personal data, provided there is a legal right to object. In the case of a valid objection, your personal data will also be automatically deleted by us (Art. 21 GDPR).
